CASH Office Manager

CASH (Creating Assets, Savings and Hope) is a community coalition of more than 40 organizations working together to improve the financial well-being of low income working families in Monroe County.   CASH helps working families get, keep and grow their money by: increasing incomes through greater use of the Earned Income Credit; minimizing, unnecessary financial erosion by offering alternatives to predatory financial services; and maximizing financial assets through financial education, credit repair, savings, and home ownership.  CASH was initiated by the United Way of Greater Rochester in 2002, and in June of 2007, Empire Justice assumed the operating responsibility for CASH

PRIMARY RESPONSIBILITIESOF THE CASH Office Manager

Office Operations

  • Thorough knowledge of office practices and procedures: emails, phone calls, scheduling, information distribution, etc.
  • Participates in all team meetings; takes and distributes minutes
  • Submits check requests, invoices and receipts to EJC finance
  • Provides professional administrative and program support to CASH Staff: CASH Director, Program Managers, Program Specialists, Seasonal Staff, Volunteers
  • Assesses office inventory and orders supplies
  • Prioritizes and manages Director’s time and calendar; interfaces with staff, volunteers, clients, community partners and advocates, Steering Committee members
  • Manages duties related to recruiting new staff:  job descriptions, external postings, scheduling and participating in employee interviews, employment paperwork, training new employees
  • Manages CASH Master work plans for each program; collaborates with team for updates, action items, support and accountability
  • Takes charge of additional responsibilities and special projects as assigned

 

Vendors,PartnersContact,EventPlanning

  • In collaboration with the Director and Program Managers, manages all aspects of CASH events: meetings, trainings, community presentations, post season tax events; includes follow ups and reminders
  • Interacts and coordinates with external vendors to place orders, reserve meeting space, order food for events
  • Works with EJC finance to determine appropriate payment method
  • Manages production schedules with external vendors for preparation and printing of all CASH materials; manages bulk mailings
  • Interacts with community partners for information updates
  • Fields phone calls from clients, volunteers, community partners
  • Ability to answer most inquiries and questions independently

  • Maintains positive attitude with all staff and volunteers
  • Maintains strict confidentiality of information

 

 SKILLS AND ABILITIES

  • Quick-thinking problem solver; thrives in a fast-paced and changing environment
  • Ability to work independently and multi-task
  • Excellent interpersonal skills with a customer/client service-oriented mentality; proven ability to collaborate effectively with all levels of internal management and staff as well as outside clients and vendors
  • Demonstrated project coordination experience and ability to prioritize concurrent responsibilities while meeting all deadlines

 

QUALIFICATIONS

  • 4+ years of administrative support experience preferred
  • Project management/coordination experience a plus
  • Experience in scheduling systems a plus
  • Advanced proficiency with MS Office Suite: Outlook, Excel, Word, Microsoft Teams, Sharepoint
  • Fluent in Spanish a plus
